Executive Assistant to the President


About the New Civil Liberties Alliance

The New Civil Liberties Alliance is a nonpartisan, nonprofit law firm. You may have heard that NCLA took down Chevron deference at the U.S. Supreme Court last year. We are just getting started, and now is a great time to join us! NCLA pursues precedent-setting litigation to enforce constitutional limitations against the Administrative State. Founded in 2017 by Columbia law professor Philip Hamburger, NCLA engages in public-interest litigation to defend and restore the liberty established by the U.S. Constitution. NCLA fights unlawful executive branch disregard of constitutional freedoms, such as jury-trial rights, due process of law, and free speech. NCLA seeks to immediately hire an energetic, enthusiastic, and incredibly well-organized executive assistant to the President of our firm. Requirements:

  • Passionate about the U.S. Constitution, limited government, and fighting unlawful power
  • Two (2) years minimum of related administrative/management experience
  • Proficiency with Microsoft Office applications, including Teams, as well as Zoom
  • Keen attention to detail and the ability to maintain confidentiality
  • Strong written and verbal communication skills
  • Professional manner both in person and in phone/zoom conversations
  • Excellent organizational and time-management skills; ability to prioritize, multi-task, and always meet deadlines—unfailingly
  • Familiarity with general administrative practices and procedures
  • Possess the professional courage and confidence to express opinions and judgment with regard to organizational initiatives, even when divergent from colleagues’ points of view
  • Ability to work successfully individually or in a team environment, as well as to exercise sound professional judgment
  • Bachelor’s degree
  • Commitment to work in person at NCLA’s office in Arlington
  • Plus factors: Experience in legal office, particularly with litigation; experience in a non-profit organization

Responsibilities:

  • Generally assist the President in managing demands on his time and attention, helping him effectively and timely meet commitments
  • Manage the President’s schedule, planning and scheduling meetings and appointments and coordinating travel arrangements as needed
  • Manage records kept by/for the President, including reimbursement and other common office records
  • Appropriately prioritize internal and external demands on the President’s time and develop workflows, including internal deadlines, for recurring tasks 
  • Prepare and edit draft correspondence, reports, and presentations
  • Attend weekly staff, litigation, and directors’ meetings to note tasks requiring executive attention
  • Attend and prepare agendas for and notes regarding various other meetings, including at least semi-annual meetings of the Board of Directors
  • Interface with internal departments, allies, and supporters regarding requests to/from the President
  • Ensure the timely collection and retention of various corporate documents
  • Assist with various HR tasks including organizing interviews, greeting/guiding interviewees, onboarding new employees, and offboarding departing employees
  • Serve as first point of contact for the organization with key constituents, answer the main line and other similar office tasks occasionally as a backup to the office manager
  • Identify opportunities for executive delegation or other efficiencies
  • Generally assist in the operation of the organization as needed and appropriate
  • Other duties as assigned
