About the New Civil Liberties Alliance

You may have heard that NCLA took down Chevron deference last year. Well, we are just getting started, and now is a great time to join us! NCLA pursues precedent-setting litigation to enforce constitutional limitations against the Administrative State. NCLA has devised and executed strategies for four significant Supreme Court cases, including Relentless v. Dept. of Commerce (companion case to Loper Bright) and Cochran v. SEC. Having accomplished one of our founding objectives—to overturn Chevron—NCLA has other equally ambitious goals left to pursue. NCLA seeks to immediately hire experienced trial counsel and top-notch constitutional thinkers who share its passion for restoring constitutional constraints on governmental entities.

Founded in 2017 by Columbia Law School professor Philip Hamburger, the New Civil Liberties Alliance is a nonpartisan, nonprofit law firm, which engages in public-interest litigation to defend and restore the liberty established by the U.S. Constitution. NCLA fights unlawful administrative power’s disregard of constitutional freedoms, such as jury-trial rights, due process of law, and free speech. If you are a lawyer who lives, eats, and breathes constitutional law but doesn’t mind getting into the administrative weeds where the Constitution is too often forgotten, but ever useful, then we want to hear from you!

Reports to: Chief Financial Officer

Summary: The Office Manager plays a pivotal role in ensuring the smooth and efficient operation of our office and is responsible for overseeing daily administrative tasks, managing office procedures, and providing support to staff. A commitment to our core values and the ability to maintain a professional, organized, and welcoming office environment will contribute to our overall success. Prior experience is required.

The Office Manager guides and manages a variety of general office functions, staff support, and administrative services. The Office Manager assists with the recruiting and hiring of staff; ensures the facilities are maintained; engages vendors and suppliers; and upholds policies and procedures. The position involves operations, human resources and IT administration. Applicants should possess prior office experience in management; strong administrative and organizational skills; excellent planning and time management; the ability to work independently and as part of a team; and proficient computer skills. This position will require the ability to make judgment calls, exercise discretion, maintain confidentiality and display a high level of tact and professionalism.

Responsibilities:

Oversee the day-to-day operations of the office, including managing administrative tasks, coordinating schedules, and ensuring efficient workflow.

Maintain a welcoming and professional atmosphere in the office, creating a positive experience for clients, visitors, and staff members.

Serve as a point of contact for internal and external communications, including answering phone calls, responding to emails, administering the mail and handling correspondence.

Implement and maintain office policies and procedures, ensuring compliance with legal regulations and ethical standards.

Coordinate and schedule client meetings, video appearances, and other appointments, ensuring all necessary arrangements are made.

Oversee and manage files and records, ensuring proper organization, confidentiality, and compliance with data protection regulations.

Manage vendors, suppliers, and service providers to ensure the smooth operation of office equipment, information technology, and facilities.

Own office operations and procedures, requisition of supplies and IT equipment, filing systems, office appearance.

Manage office landlord relations, building access and office maintenance needs.

Assist with job openings, engage in initial screening and assist in HR management to onboard, off-board and train new hires.

Assist in preparing technology, equipment, venue, set-up, clean up and preparation for meetings.

Assist in strategic planning and prepare, own and administer the department’s budget.

Foster a positive work environment, promoting teamwork, open communication, and professional growth among the staff.

Skills and abilities:

Experience as an office manager or a similar role in a professional environment.

Superior written and verbal communication skills.

Excellent interpersonal and customer service skills.

Detail-oriented and professional.

Understanding of office management practices including knowledge of accounting procedures and information systems.

Ability to organize, prioritize tasks and delegate when appropriate.

Proficient in Microsoft Office Suite. 

Excellent interpersonal and communication skills, with a friendly and professional demeanor.

High attention to detail and accuracy, ensuring quality in all administrative tasks.

Ability to maintain confidentiality and handle sensitive information with discretion.

Strong problem-solving skills and ability to make decisions and resolve issues effectively.

Knowledge of legal office procedures and familiarity with legal terminology is preferred.

Adherence to ethical standards and a passion for the NCLA mission.

Salary: Competitive salary commensurate with experience

Education and Experience:

Bachelor’s degree in HR, Business or a related field

Five years of experience in a management position

Law firm experience preferred but not required

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer

Must be able to lift up to 15 pounds
